To ensure a smooth experience for all participants, please carefully review the following presentation guidelines according to your participation format.

General Presentation Guidelines (All Presenters)

Please respect the allocated presentation time indicated in the conference programme. We recommend leaving a few minutes at the end for questions and discussion.

Prepare your presentation slides in PowerPoint (.pptx) or PDF format and ensure that all videos, animations, and external links are tested in advance.

  • Presentation time, in total: for Full paper - 20 minutes, short papers - 10 minutes, workshops and panels 60 minutes

  • The first slide should include:

    • Presentation title

    • Author(s) name(s) and affiliation(s)

    • IEEE DEMOcon Conference

  • Use clear visuals, readable fonts, and avoid overcrowded slides.

  • Please be present for the entire session in which your presentation is scheduled, allowing interaction and discussion with other presenters.

  • Questions will be coordinated by the session chair.

Instructions for On-site Presenters

Please arrive in the assigned conference room in the UPT Conference Center at least 15 minutes before the session starts. Introduce yourself to the session chair and technical support team. Upload your presentation on the conference computer before the session begins. Please bring your presentation in USB stick as logging to a cloud may cause a problem due to university security systems. Place the presentation file on the computer desktop before your session. You will need to use the provided conference equipment and not your own device. 

 All presentations are streamed online for the online participants, so you will need to present from a designated spot in front of the room. Speak clearly and keep within the allocated time.  Follow the indications of the session chair regarding timing and Q&A.

Instructions for Online Presenters and participants

Please join the online conference room at least 15 minutes before the scheduled start time for technical checks. Each room has a designated Zoom link, see the Zoom links above.

Ensure that you have:

  • A stable internet connection

  • A working microphone and camera

  • A quiet environment with minimal background noise

  • Your presentation ready for screen sharing

  • Test your audio, video, and screen-sharing options before the session.

During Your Presentation

  • Keep your camera on while presenting, whenever possible.

  • Mute your microphone when you are not speaking.

  • Share only the presentation window to avoid displaying unrelated content.

  • Speak clearly and at a moderate pace, considering possible connection delays.

  • Monitor the chat for questions or follow the instructions of the session chair.

Backup Recommendations

Session chairs and technical assistants will support presenters throughout the sessions.
